Position Overview:

This position will perform various duties within the admissions department including maintaining data accuracy within systems, assisting with communication and policy tracking, monitoring various inboxes to field to appropriate personnel, and timely project execution.

This position will report to the Admissions Systems Manager and maintains interdepartmental communications to ensure the goals and objectives specified for a project are accomplished in accordance with priorities, time limitations, or other specifications.

Responsibilities:
  • Customer Service: Contributes to and promotes a positive, welcoming, and highly supportive environment for all internal customers. Establishes and maintains excellent communication and positive relationships with all stakeholders
  • Collaborative Mindset: Serve as backup to the Admissions Operations Specialist and Admissions Systems Manager when needed. Provides support for admissions representatives, admissions leadership and non-admissions personnel
  • Processes and Procedures:
    • Coordinates administration of multiple electronic systems/processes and troubleshoots issues to ensure policy enforcement, compliance, and efficiency.
    • Supports the query and data extraction from various systems.
    • Identifies process inefficiencies, develops, and implements solutions to eliminate or minimize identified inefficiencies
    • Develops and maintains Admissions Operations process and procedures documentation to be used by admissions operations personnel at the home office and our campus locations.
    • Assists on documentation, internal/external system updates communication, and compliance requirements for all admissions new hire, personnel changes or terminations.
    • Approve invoices and assist with data input in OneStream during budget reforecasting.
    • Manage and coordinate the processing of student records and inquiries that are required for enrollment and coordinate communication between all appropriate departments to ensure a smooth transition from inquiry to start.
    • Scan and index all supporting data in the CRM and SIS systems for the Admissions team.
    • Proactively prioritizes and handles issues and department queries, exercises appropriate judgment to ensure quality service and resolution.
  • Contributes by ensuring the business maintains compliance, which has a significant impact on the business.
  • Other duties as necessary
Qualifications:
  • Education: High School degree or GED required.
  • Experience
    • Min. 3 years of customer service experience
    • Experience working directly with/for internal business partners and executive management.
  • Communication Skills: Strong verbal and written communication skills. Ability to work in a collaborative environment
  • Accountability Skills: Willing to take ownership of, and identify, analyze, and quickly resolve complex issues. Ability to independently prioritize and manage heavy workflow to meet/exceed deadlines.
  • Technical Skills: Must have advanced computer skills of database management and Microsoft Office programs
  • Interpersonal skills: builds effective relationships, works independently, ability to work in a fast-paced environment, customer service attitude, self-motivated, organized, high level of attention to detail and accuracy. Strong analytical, problem-solving and decision-making skills.
