Job Description – Assistant Director, FoCo Cafe

Position Summary:

The Assistant Director at FoCo Cafe is a new, dynamic role that is crucial for supporting the Executive Director and ensuring the smooth operation of the cafe. As this position is being developed, responsibilities and priorities may evolve over time. The ideal candidate will demonstrate adaptability, strong organizational skills, and a proactive approach to managing a fluid and flexible role. The Assistant Director will work closely with the Executive Director to solidify the scope and responsibilities of this position while focusing on managing day-to-day administrative tasks, overseeing financial records, and coordinating communications and events. By taking on these responsibilities, the Assistant Director enables the Executive Director to focus on community engagement, fundraising, grants, and donor cultivation.

This is a full-time, non-exempt hourly position with a starting pay of $23/hour plus KPI-based bonus opportunities. The Assistant Director will be expected to work on-site at the cafe to help cover shifts for the Director of Operations and/or Executive Chef as needed, especially early on to gain a comprehensive understanding of daily operations. Otherwise, a significant portion of the work can be done remotely. FoCo Cafe maintains a flat hierarchy, with all employees having equal standing aside from the Executive Director. In the event of the Executive Director's leave, the Assistant Director will stand in for them as assigned, necessary, and appropriate.

Essential Duties and Responsibilities:

Administrative Support:

  • Manage and prioritize email communications, ensuring timely responses and accurate information dissemination.
  • Attend relevant meetings and webinars, taking notes and following up on action items.
  • Assist with scheduling, filing, and other administrative tasks as needed.

Financial Management:

  • Maintain accurate financial records and manage spreadsheets.
  • Prepare financial reports and assist with budgeting and forecasting.
  • Liaise with the accounting firm and support the Executive Director in financial decision-making.

Communications and Event Coordination:

  • Develop and implement effective communication strategies across various platforms, including email, social media, and the cafe's website.
  • Coordinate the planning and execution of events and fundraising activities.
  • Collaborate with staff and volunteers to promote the cafe's mission and engage the community.

Intern and Volunteer Management:

  • Assist in recruiting, training, and supervising interns and volunteers.
  • Develop and implement intern programs that provide valuable learning experiences while supporting the cafe's operations.
  • Foster a positive and inclusive environment for interns and volunteers.

Operational Support:

  • Assist the Executive Director and other staff members with operational tasks as needed.
  • Identify opportunities for process improvement and implement solutions to enhance efficiency and effectiveness.
  • Ensure compliance with relevant policies, procedures, and regulations.

Qualifications:

  • Bachelor's degree or higher in Business Administration, Social Work, Human Development, Nonprofit Management, or a related field preferred.
  • Experience in an administrative or operations role, preferably in a nonprofit setting, is desirable.
  • Strong proficiency in the Google Workspace, spreadsheets, and financial management software preferred.
  • Excellent written and verbal communication skills.
  • Proven ability to multitask, prioritize, and manage time effectively.
  • Detail-oriented with strong organizational and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Physical Demands: (Reasonable Accommodations Can Be Made As Needed)

  • Can lift 35 pounds or more when required
  • Can safely ascend and descend stairs multiple times a day

  • Availability and willingness to work on Thanksgiving Day (FoCo Cafe’s Anniversary)
  • Commitment to having excellent attendance
  • Ability to juggle multiple tasks and supervise multiple volunteers at a time
  • Strong interpersonal skills and a commitment to high-quality service
