Job Description

Position Summary:

Coordinates the comprehensive student-athlete certification program at Virginia Commonwealth University to ensure that all athletes competing in organized NCAA Division I sports at the university are eligible for competition under current NCAA and Atlantic 10 Conference guidelines. Also coordinates multiple enrollment projects required of the Office of the University Registrar.

Core Responsibilities:

Coordinate the student-athlete certification program (55%):

  • Maintains and updates student-athlete progress reports, and prepares fully documented rosters for the Atlantic 10 Conference (A-10) and NCAA certification in order to ensure that only eligible athletes compete or practice in Division I sports for the university, using knowledge of the A-10, NCAA and university rules and regulations.
  • Runs degree audits to ensure that athletes are progressing towards graduation in accordance with NCAA regulations.
  • Coordinate the collection of data and completion of the required NCAA Graduation Success Rate (GSR) report.
  • Coordinates academic certification with the Office of Student-Athlete Advising and the Office of the University Registrar.

File, Form, Data Management and Reporting (15%):

  • Maintains current and historical electronic files on all student-athletes certified for Division I competition.
  • Submits updated reports to the Office of Athletic Advising, and Compliance Office for their perusal.
  • Creates forms and procedures as necessary to comply with changing rules and needs of the university, the A-10, and the NCAA.

Department Communications (15%):

  • Assists leadership team by responding to emails sent to central department email accounts on a timely basis.

Student Matriculation Maintenance (10%):

  • Update change of majors, minors and concentrations to student record.
  • Ensures all changes are accurate and completed in a timely manner to prevent registration, graduation, and billing issues.

Verification Processing (5%):

Use information resources to verify attendance and degree confirmation requests submitted through the National Student Clearinghouse portal.

Minimum Hiring Standards:

  • Bachelor’s degree from an accredited institution or equivalent combination of training, education, and experience.
  • Experience in a Records and Registration office or similar higher education environment.
  • Ability to understand and apply the complicated NCAA rules and regulations as well as federal and state guidelines dealing with privacy rights.
  • Ability to use computers and various student information systems.
  • Ability to reason logically and maintain accurate records.
  • Excellent verbal and written communication skills.
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.

Preferred Qualifications:

  • Experience working with NCAA regulations and certification processes.
  • Experience working with Banner or other student information systems.

Position can be performed remotely with the Potential for remote work schedule up to 40% of work time.
