Job Description

Job Overview:
The Mid-Atlantic Library Alliance, a library consortium of over 200 libraries, seeks a skilled Contract Manager to join our team. The ideal candidate will be responsible for overseeing contract negotiations, managing contract compliance, and ensuring successful execution of agreements.

Duties include:

  • Prepare RFPs for library materials, serials, and supplies, including the development of all service requirements
  • Issue contracts in accordance with Virginia procurement regulations and rules
  • Monitor Virginia procurement regulations, rules, and processes
  • Stay informed of library acquisition resource and service trends
  • Regularly monitor the MALiA contracts email account and respond to requests in a timely manner
  • Assist members in resolving outstanding issues regarding contracts
  • Conduct annual surveys to evaluate vendor performance;share results with MALiA community
  • Provide contract content and updated information to Digital Assets Manager and Officers
  • Evaluate vendor proposals and develop points of negotiation in collaboration with the Contracts Committee
  • Arrange meetings and make presentations to MALiA and other interested groups as needed
  • Maintain files and provide members with requested documentation
  • Attend MALiA business meetings
  • Assist in promoting MALiA membership

Required Qualifications:

  • Superior oral and written communication skills
  • Ability to work independently
  • Knowledge of Virginia procurement regulations, rules, and processes
  • Experience in working with vendors

Preferred Qualifications:

  • Bachelor’s degree
  • Experience in writing library RFPs and service requirements
  • Knowledge of library acquisitions
  • Experience conducting surveys and analyzing results

Remote Requirements:

  • Must attend virtual Executive Committee meetings quarterly (or as needed)
  • Must respond to electronic communication in a timely and professional manner
  • Must notify MALiA President and officers in advance of extended absences (more than three consecutive days)

About MALiA:

MALiA is a consortium of more than 200 public, academic, school, and special libraries in Virginia, Alabama, Florida, Georgia, Kentucky, Maryland, North Carolina, South Carolina, Tennessee, and West Virginia. MALiA is based predominantly in Virginia.

Job Type: Part-time

Pay: $8,500.00 per year

Expected hours: 5 – 10 per week
