Job Description

Overview:

This position supports key corporate administration roles at Tompkins. This role includes preparation of board meeting packets and taking minutes at Board meetings, as well as Board Committee meetings. The incumbent will administer Tompkins’ board of director compensation program, and also assists the Tompkins’ Corporate Secretary and Deputy Corporate Secretary with their corporate governance responsibilities, including administrative duties. The incumbent will also administer and maintain processes for shareholder transactions and communication with Tompkins’ transfer agent. The role will include special projects, research, and analysis support for the Bank President (CNY).


Primary/Daily Reporting will be to the Deputy Corporate Secretary, with overall Matrix Reporting to:

  • General Counsel for executive assistant duties
  • Bank President (CNY) for Tompkins CNY Duties


Flexible Location
: This position is located at our Corporate Headquarters office in Ithaca, New York. Tompkins also maintains an administrative office in Pittsford, New York. This position can be based at either location.

Responsibilities:
  • Implement and maintain processes for shareholder transactions and communication with Tompkins’ transfer agent.
  • Provide administrative support for TMP Board of Directors & TMP Board Committee operations such as materials preparation and follow-ups, taking minutes, filings, and other operational needs.
  • Manage director compensation for all directors with related filings.
  • Manage boards’ Calendar of Duties.
  • Assist Deputy Corporate Secretary with meeting packets for certain Board-level committees as requested.
  • Upon request, assist TMP CEO and Tompkins CNY President with research requests and special projects.
  • Provide basic administrative support to TMP Corporate Secretary.
  • Serve as “back up” to the other members of the Corporate Administration team to provide basic administrative coverage during their vacations/out-of-office times.
  • Other duties as assigned.
Qualifications:
  • Associate’s degree required
  • 3 years of office administrative experience required
  • 1 year of experience in investor relations required
  • Strong organizational skills; ability to break a complex process down into discrete tasks
  • Effective research and writing capabilities
  • Strong interpersonal skills and ability to work collaboratively with cross-functional teams
  • Ability to handle and prioritize multiple tasks in a fast-paced environment
  • Demonstrated sound judgement and discretion with respect to confidential material, and sensitive information
  • Proficient in the use of standard Microsoft Office Suite applications (Outlook, Word, Excel and PowerPoint); understanding of database/software systems

Pay Range: USD $24.00 - USD $30.00 /Hr.
