JOB TITLE: Documentation Support Specialist Intermediate

LOCATION: Washington, DC

REQUISITION: NCR-1306-24-RSS

REPORTS TO: SABG Program Manager

FLSA STATUS: Regular Full-Time Exempt

SECURITY CLEARANCE: DoT Clearance is preferred

SALARY: $80,000 - $90,000

SUMMARY: SABG is seeking a Documentation Support Specialist Intermediate to support the Transportation Security Administration (TSA) Office of Railroad Safety (RRS). This position is remote.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receive incoming requests, upload requests into the tracking system(s), and track to resolution. Coordinate requests with RRS senior management, staff directors, subject matter experts, other RRS staff, and external entities (including FRA Office of Chief Counsel (RCC) and the Office of the Administrator), as appropriate, to prepare for resolution.
  • Collect and organize documents, emails, and other relevant documents for assigned requests and assist in the preparation of those documents to share with outside entities; may include formatting, compiling, redacting personal identifying information (PII), creating inventory lists, or other organization-related tasks
  • Use Microsoft Office products including Word, PowerPoint, and Excel.
  • Prepares and/or maintains systems, programming, and operations documentation, including user manuals. Maintains a current internal documentation library. Competent to work on most phases of documentation.

SUPERVISION: This position has no supervisory responsibilities.

QUALIFICATIONS, EDUCATION, AND/OR EXPERIENCE:

  • 4 years of relevant experience and a Bachelor’s degree is required
  • Demonstrated knowledge of Microsoft Excel, Word, SharePoint, Teams, Outlook, and PowerPoint
  • Ability to obtain Public Trust level access as granted by the customer
  • Experience “managing up” and assisting higher-level staff with deadlines
  • History of developing and maintaining strong working relations with various staff and senior level officials
  • Demonstrated success in fast-paced, fluid situations and environments with shifting priorities and quickly absorbing new information
  • Ability to work independently based on general guidance and written trainings
  • Ability to manage multiple tasks simultaneously and prioritize activities to meet deadlines
  • Excellent oral and written communication

COMPUTER SKILLS:

  • Skilled in operating a personal computer and standard office equipment
  • Must have proficiency in a variety of computer software applications in word processing, spreadsheets, database, (MS Office: Word, Excel, Outlook, PowerPoint)

LANGUAGE SKILLS: Ability to read, analyze, and interpret governmental regulations. Ability to write reports, business correspondence, and/or procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS: Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to question activities and issues in all functional areas and make sound business decisions based on that data.
