About Us: Kids on the Move (KOTM) is a well-established non-profit organization in Utah, providing vital services to support the growth and development of children and families. Our Autism Center offers Applied Behavior Analysis (ABA) therapy to children with autism, and our Family Support Services program is expanding to offer psychological evaluations, speech therapy, and occupational therapy. The Clinical Services Intake Coordinator will manage the onboarding process for new and prospective clients. This role is integral to ensuring that families can smoothly access our services.

Position Overview: The Clinical Services Intake Coordinator at Kids on the Move will facilitate the intake and onboarding of new clients seeking ABA therapy or other clinical services. This role involves gathering and processing client intake information, managing files, and liaising with the billing department and program leadership to ensure clients are ready to start services. The ideal candidate is highly organized, detail-oriented, and comfortable navigating changing workloads and working independently in a remote setting.
Qualifications:
- At least one year of experience in an office setting, with a strong customer service background
- Proficient in using office equipment such as computers, telephones, and copiers
- Experience with software such as DocuSign, Microsoft Word, Excel, PowerPoint, and Outlook
- Strong communication skills, both verbal and written
- Ability to manage multiple tasks under pressure and meet deadlines
- Some experience working with insurance companies for prior authorizations is preferred
- High school diploma or equivalent
Key Responsibilities:
- Manage the intake process for new clients, from inquiry to the start of services
- Process and organize client paperwork, ensuring compliance with all forms and regulations
- Conduct insurance benefit checks and communicate financial expectations to families
- Assist with submitting and troubleshooting insurance authorizations
- Maintain ongoing communication with families on the waiting list, ensuring updated interest and availability
- Schedule client orientation meetings and track client files for compliance
- Assist with cross-training and provide support during team absences
