Introduction


Provide administrative support to Administrative Law Judges for the Division of Hearings and Appeals as a Legal Associate!

The Division of Hearings and Appeals (DHA) is a quasi-judicial, independent entity created to conduct high quality, impartial, independent, and cost and time efficient hearings that serve customer agencies and the citizens of Wisconsin. DHA currently conducts hearings for fifteen state agencies and is also available to do hearings for other agencies when requested. It is a growing agency with a varied caseload which fall under these administrative units: Corrections Unit, Office of Worker's Compensation Hearings, General Government Unit, and Work & Family Services Unit. This position is headquartered at the Milwaukee State Office Building located at 819 N. 6th St, Milwaukee, WI.

Position Summary


Under general supervision of the Division of Hearings and Appeals Legal Associate Supervisor, this paraprofessional position is responsible for providing general and technical support services in the areas of litigation case management, scheduling of public assistance, social services, and corrections hearings as well s other program support duties and administrative functions for the Milwaukee Corrections and Public Assistance and Social Services Units.

This position, using considerable knowledge of policies, procedures and practices and the Corrections and Public Assistance and Social Services Program, provides multi-task support to the Assistant Administrator of the Corrections and Public Assistance and Social Services units and administrative law judges to ensure the efficiency and accuracy of the litigation process through coordination in the Milwaukee Office, and the support staff in the Milwaukee and Madison offices.

The person independently performs a wide array of tasks, including processing, reviewing and analyzing hearing applications and other documents to make preliminary determinations on jurisdiction, issues, parties, time for length of hearing, scheduling of Corrections and Public Assistance Social Services hearings; providing information to petitioners, agencies, and representatives regarding processing of hearing application; preparing file materials to administrative law judges; maintaining litigated files, monitoring and reviewing incoming correspondence and providing information in person and by telephone to the general public; performing necessary program support and file maintenance functions including file creation, retrieval, routing, copy work and documentation. This position utilizes Microsoft Office, including extensive use of Outlook, Word and Excel to complete tasks.

Salary Information


This position is assigned to pay schedule and range (02-13) with a pay rate of $25.32 per hour, plus excellent benefits. A 12-month probationary period may be required.

Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Job Details


Due to the nature of the position, DOA will conduct background checks on applicants prior to selection. DOA does not sponsor work visas. All persons hired will be required to verify identity and eligibility to work in the United States, and to complete the required employment eligibility form.

After training of up to 6 months, this position may be eligible for a hybrid remote/in-office work schedule, up to 2 days per week remote, as determined by the supervisor based upon the needs of the position and the work unit. This topic and any remote work flexibility that may be available will be discussed in more detail in the interview process.

Qualifications


Qualified applicants will have experience in each of the following:

  • Providing administrative support including activities such as a maintaining multiple calendars, answering confidential phone calls, sending or reviewing email, redacting documents, faxing or scanning documents, etc.
  • Maintaining electronic records and files
  • Providing customer service to external customers through emails and phone calls
  • Using Microsoft Outlook and Word or similar programs in a professional setting [Activities may include utilizing distribution lists, mail merge (Word documents and emails), adding attachments, using the formatting options (i.e., tabs, bullet/ list making, etc.), advanced functions may include delay delivery, voting buttons or read receipts.]

In addition, well-qualified applicants will also have experience in at least one of the following:

  • Researching, analyzing, or interpreting information to perform activities such as providing answers to customer questions, developing a recommendation, reaching a conclusion, etc.
  • Typing transcripts
  • Managing electronic records and files
