The Membership and Events Manager provides meeting planning and support as well as membership and administrative support to their assigned clients and team. They are responsible for extensive contact with members, website administration, working with committees, meeting planning and logistics, communication strategy, and other client support.

Key Responsibilities:

Meeting Responsibilities

  • Develop and execute comprehensive annual meetings and events plans including timelines and schedules to keep projects on time and on budget.
  • Coordinate all aspects of all assigned Association meetings and events each year including management of timelines, all logistics, registration, catering, AV setup, social and offsite events, dinners, and post-event evaluations.
  • Lead webinar administration including set up, recording, uploading for future viewing.
  • Negotiate contracts and work with venues, vendors, and suppliers to ensure cost-effectiveness and quality.
  • Manage budgets and reconcile expenses for meetings, events, and communications activities, ensuring cost-effectiveness and adherence to financial guidelines.
  • Coordinate program planning, abstract management, and speaker communications with input from leadership.
  • Develop and oversee all meeting or event-related promotional and on-site materials and maintain a comprehensive meeting website and mobile app.
  • Coordinate RFP process, collecting and creating comparison reports of future venue options.
  • Plan necessary site inspections including setting up necessary appointments with appropriate partners.
  • Work to secure sponsorships and foster relationships to continue partnerships and execute terms of agreements with suppliers, exhibitors, vendors, supporters.
  • Source and work with third party CME accreditor to ensure program is accredited and compliant.
  • Collaborate with the external partners for programming and international outreach efforts.
  • Oversee Annual Meeting evaluation process.
  • Monitor and analyze metrics related to event attendance, website traffic, and communication engagement to evaluate the effectiveness of meetings and communications efforts.
  • Present meeting and event dashboards and other education reports to committees, leadership, and executive staff as needed.

Membership Responsibilities

  • Develop and execute comprehensive annual membership plans including timelines and schedules to keep projects on time and on budget.
  • Maintain membership data on websites and databases, including dues, status, and profile updates.
  • Collaborate with the associations’ members and assist with inquiries and questions.
  • Manage the membership process including application, timely invoicing, dues renewals, and payment processing.
  • Lead member recruitment and retention efforts.
  • Produce membership reports.
  • Analyze membership data and metrics to evaluate the effectiveness of campaigns and make data-driven adjustments as needed.
  • Present membership dashboards and other education reports to committees, leadership, and executive staff as needed.

Administrative and General Support Responsibilities

  • Oversee and support of assigned committees; serve as staff lead for committees as assigned (meeting scheduling, reminders, agendas, minutes and executing action items).
  • Review operating practices and recommend efficiencies and improvements where needed.
  • Manage correspondence (mail, email, and listserv) and phone lines, responding in a timely and professional manner.
  • Maintain a filing system for easy document, record, and report retrieval.
  • Attend required GMP meetings and events and participate in GMP trainings.
  • Foster a positive and inclusive work environment that encourages teamwork, creativity, and continuous learning.
  • Perform other duties or projects as assigned.

Minimum Knowledge, Skills, and Abilities

  • Associate degree in communications, business, marketing, public relations, event management or related field.
  • Minimum of 3 years of relevant experience in meeting and event management, event budgeting, communications.
  • Proficient computer literacy skills (Microsoft Office: Word/Excel/PowerPoint/Outlook).
  • Excellent communication skills to include writing, speaking and the ability to adapt communication style to fit the situation and audience.
  • Excellent organizational and time management skills; ability to plan and coordinately work independently balancing multiple work demands in a fast-paced environment.
  • Excellent interpersonal skills with the ability to develop strong relationships that instill trust and confidence.
  • Strong attention to detail
  • Ability to lead multiple projects, set priorities, schedule staff assignments, and manage multiple deadlines.
  • Ability to collaborate and empower internal and external teams.
  • Ability to think strategically and perform tactically.
  • Ability to adapt to changing priorities.
  • Ability to anticipate, develop, write, and implement operational policies and practices.

Preferred Knowledge, Skills, and Abilities

  • Association/Society experience preferred.
  • CMP preferred.

Physical Requirements: Primarily sitting work, exerting up to 20 lbs. of force occasionally. Primary working while sitting, with occasional walking, stooping, crouching, and kneeling; frequent fingering, grasping, typing, talking-speaking clearly, hearing-conversation, and seeing-nearby.

  • Ability to occasionally assist in client meetings and events.
  • Must be able to travel nationally and internationally (2-5 times per year)
  • Must be able to stand and walk for long periods of time (minimum of 8 hours) for 2-5 days.

Work/Environment: Moderate noise level consistent with an office environment.

Personal/Physiological: Interaction with people, working around people, planning of activities, making judgements in emergency situations, delegating work, and holding oneself and others accountable for meeting deadlines and finishing work, frequent changes in duties and volume of work, intra- organizational and client communication.

Pay: $60,000.00 - $65,000.00 per year
