Job Description

Summary:

The Supervisor for Doc Management Recon and Extractions has the responsibility of overseeing a team that is responsible for reviewing loan files for accuracy and quality within the Doc Management departments assigned production, SLA’s, and acceptable levels of quality, costs, and efficiency. The Doc Management Recon/Extraction Supervisor will develop group cohesiveness, lead and solve routine daily problems.

Essential Job Functions:

  • Manages 25-40 staff who reconcile loan files and validates the quality of imaged loan files and documents; to include offshore resources.

  • Coordinate management of extraction of loan files for various requests, to include loan sales

  • Responsible for direct hiring, coaching, disciplinary action, and maintaining appropriate staffing levels to meet customer demands.

  • Reviewing and approving time cards, and time off requests ensuring sufficient staffing for project completion dates.

  • Daily, weekly, monthly, and annual reporting of department volumes, production levels, quality, and efficiency.

  • Preparing and delivering performance evaluations to all direct reports on a semi-annual basis.

  • Evaluating production needs daily to ensure efficient handling of volume.

  • Suggesting and/or initiating improvements in quality, automation, cost, and efficiency.

  • Conducting department meetings with staff on a routine basis, daily huddles, team meetings, direct one on one, to insure appropriate communication.

  • Developing and writing department policies and procedures.

  • Developing and providing written training courses for positions and processes.

  • Providing quality and timely service to all internal branch and home office departments relative to imaging and file requests.

  • Initiating, performing, and/or overseeing regular maintenance to department scanning equipment and hardware.

  • Initiating and writing requests for IT related reports, new automated processes, and enhancements to existing systems.

  • Maintain regular and punctual attendance.

Supervisory Responsibilities:

This position has direct reports. Manages staff and carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:

  • High School Diploma or GED required; Some college preferred

  • 5+ years of prior relevant experience.

  • 1-3 years’ experience in the mortgage industry

  • 1-3 years’ experience in managing a team of 10 or more employees

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graph.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
