JOB ROLE AND PURPOSE
As the Surgical Coordinator for our clinic(s), you will play a pivotal role in delivering exceptional customer service, processing surgical posting requests, obtaining pre-op orders, verifying insurance information, obtaining authorizations for referrals, communicating with surgery patients, collecting surgical deposits, and coordinating with the surgery center(s) and/or hospital(s) in which surgeries will be performed.
Additionally, the Surgical Coordinator will be responsible for the ordering and management of surgical clearances through any and all partners with the practice. The Surgical Coordinator will work with various surgical vendors and representatives like the Inspire company to ensure all appointments related to the insertion of the Inspire Implant are scheduled, and that the patients care is coordinated as effectively as possible.
The Surgical Coordinator will be responsible for ensuring maximization of provider's surgical block time and ensuring timely scheduling of all patient procedures once submitted by the provider.
ESSENTIAL DUTIES AND RESPONSIBILITIES
SURGICAL SCHEDULING RESPONSIBILITIES
Process surgical posting requests from multipleENT physicians within the practice.
Obtain pre-operative clearance, lab-work, and diagnostic imaging orders for the surgery patient.
Verify insurance eligibility and surgical benefits for all surgery patients.
Able to obtain any prior authorizations required for a given surgical procedure. This includes appealing denials and scheduling peer-to-peer reviews with the surgeon and insurance company.
Communicate and schedule surgeries with referred patients. This includes answering any non-medical questions related to the surgery and triaging medical questions to the surgeon.
Calculating and collecting surgical deposits prior to the surgery.
Building and maintaining a rapport with the surgery center(s) and hospital(s) in which the surgeons perform their surgeries.
Coordinating and actively communicating with the surgery center(s) and hospital(s) in which the surgeons perform their surgeries.
PATIENT AND CUSTOMER FACING DUTIES
Schedule and coordinate patient appointments based on plan of care, patient satisfaction, and clinic efficiency.
Greet and welcome guests on the phone in a friendly and professional manner.
Provide outstanding customer service by addressing patient inquiries, resolving issues, and offering appropriate solutions.
Answer incoming calls and transfer them to the appropriate department or individual.
Schedule appointments and maintain the appointment calendar.
Track patient visits for referral and authorization purposes.
OTHER ADMINISTRATIVE DUTIES
Maintain a clean and organized desk area ensuring that it reflects a professional and welcoming atmosphere.
Perform administrative functions, including data entry, filing, and record keeping.
Maintain spreadsheets to track data, input data in trackers in a timely manner.

KNOWLEDGE AND SKILLS
Proven experience in a customer service role, preferably in a front desk, receptionist or previous surgery schedulerposition.
Understanding of medical billing practices and terminology.
Keen sense of decision-making and judgement.

Strong interpersonal and communication skills, with the ability to interact effectively with guests, team members, and management.
Excellent organizational skills and attention to detail.

Familiarity with office management tasks, such as inventory management and facility coordination, is a plus.

JOB QUALIFICATIONS
High school diploma or GED equivalent.
3 - 5 years of related administrative experience preferably in a medical clinical setting
Healthcare industry experience preferred.
Equivalent combination of education and experience.
